Terms and Conditions

All correspondence in respect of tours, travel services, and bookings must be addressed to Holiday Ideas.

Booking

Upon confirmation of your booking, your contract is with Holiday Ideas. A contract exists between us once we confirm your tour or travel services and have received the deposit amount from you.

Payment

For the services contracted, a minimum deposit of 50% of the total cost is payable to Holiday Ideas to hold your booking on a confirmed basis.

Balance Payment

Balance payment is due 45 days prior to the start of services. Bookings made within 15 working days of service commencement are treated as late bookings and require full payment at the time of booking.

Peak Season Notes

For special train journeys or peak season hotel and resort stays (including Christmas, New Year, Pushkar Fair, Diwali, and similar periods), full payment is required at the time of booking. In select cases you may be asked to pay an additional advance before the final balance date depending on supplier payment deadlines.

Mode of Payment

International clients can make payments by bank transfer (telex transfer) to our designated bank account.

All payments must be free of withholding tax or deductions, and any bank charges for remittance are strictly borne by the payer.

Special Note

Holiday Ideas employees or agents will never ask for your net banking login, password, one-time password (OTP), or request that funds be transferred to personal accounts or that you install third-party applications such as AnyDesk or TeamViewer. Please report any such incident to bindukatira@holidayideas4u.com.

Cancellation, No Show, and Early Departure

In case of cancellation of tour or travel services for any reason, notification must be provided to us in writing. Cancellation charges apply from the date we receive written notice as outlined below:

  • 46 days and above prior to arrival - 25% of the tour or service cost.
  • 45 to 31 days prior to arrival - 50% of the tour or service cost.
  • 30 days or fewer prior to arrival, or no show - no refund.

Irrespective of the slabs above, if you cancel after booking with us, a minimum service charge of 25% of the total tour package cost applies.

If Holiday Ideas must cancel services after booking, you may choose one of the following options:

  • Receive a credit note for the amount paid, redeemable by you, your family, friends, or nominated guests for future travel.
  • Request a refund, subject to a minimum 25% service charge on the total tour package cost, with the balance refunded.

In either scenario, cancellation charges related to flights, hotels, travel services, or guiding services will be recovered from the client.

Cancellations after tour commencement are refunded only to the extent recoverable from suppliers. We do not refund unused accommodation, tickets, transportation, meals, or other services.

Separate cancellation policies apply for special train journeys such as Palace on Wheels, Deccan Odyssey, Golden Chariot, and Maharajas Express, and will be advised when relevant.

No refunds are available for cancellations covering festive periods (Diwali, Dussehra, Holi, Pushkar Fair, and similar), high peak season (20 December to 15 January), or long weekend bookings.

Cancellation amounts are calculated on the total booking value, not the advance deposited.

Refund

Refunds for unused or unutilized services cancelled in advance follow the cancellation policy above and are processed to the original payer. Banking procedures may take 2 to 4 weeks. Refunds to credit card or bank accounts are net of applicable bank charges.

Mandatory Identification Document

It is mandatory for all guests to provide valid photo identification at the time of booking confirmation:

  • Foreign nationals: passport and visa copies.
  • Non-resident Indian (NRI) clients: passport copy.
  • Overseas Indian clients holding OCI or PIO cards: passport plus OCI or PIO card copies.
  • Domestic clients: driving license, voter ID card, or passport copy.

Arrival and Departure Policy

Check-in: 1200 to 1500 hours. Early arrival is subject to availability; guaranteed early check-in requires reservation from the previous night.

Check-out: 1000 to 1200 hours. Late check-out is on request, subject to availability, and may incur additional charges.

Extra Usage of Vehicle

Costs for extra usage of vehicles beyond the agreed transfers or sightseeing are excluded from contracted services and are therefore not permitted.

Helicopter Journeys

Helicopter tickets and fares are subject to availability and may change without notice. While we strive to operate helicopter services, weather, VIP movement, or other unavoidable conditions may lead to cancellations.

We will attempt to rearrange affected journeys on the same or alternate day based on availability. Tickets cannot be carried forward, and accommodation, meals, or transportation costs arising from cancellations are not reimbursed.

Dedicated cancellation policies apply to helicopter yatras such as Chardham, Teen Dham, Do Dham, Ek Dham, Vaishno Devi, and Amarnath, and will be provided case by case.

Our Liabilities & Limitations

Price quotes are based on negotiated rates with hotels, airlines, and other suppliers. Suppliers may change prices without notice, and we reserve the right to adjust your quote accordingly.

Holiday Ideas acts solely as an agent for hotels, airlines, transport providers, railways, and other contractors. Tickets, vouchers, and contracts issued are subject to the terms of those suppliers.

Itineraries are samples and may change due to weather, road conditions, participant capability, or other factors impacting safety or comfort. Adjustments may occur without rebate or refund, and any additional costs are payable by the client.

We are not liable for delays, program changes, expenses, or losses resulting from natural hazards, flight cancellations, accidents, equipment failure, transport breakdowns, weather, sickness, landslides, political events, government actions, civil disturbances, theft, epidemics, quarantines, or other circumstances beyond our control.

We are not liable for loss of property, injuries, or service interruptions caused by transportation companies, hotels, agents, or other service providers. Use of sporting or adventure equipment supplied by third parties is at your own risk.

Holiday Ideas does not provide insurance coverage for accidents, sickness, theft, or similar incidents. Guests should secure appropriate insurance in their home country. Personal belongings remain at clients' risk at all times.

We reserve the right to cancel services when a tour or journey becomes impracticable, refunding the service value without further liability, and may refuse service to individuals at our discretion.

Force Majeure

Neither Holiday Ideas nor its affiliates, officers, employees, agents, or suppliers are responsible for delays or failures caused by events beyond reasonable control, including war, sabotage, terrorism, riots, civil commotion, transportation failures, government actions, fire, explosion, flood, earthquake, strikes, pandemics, epidemics, outbreaks of disease, or quarantine restrictions.

Both Holiday Ideas and clients will use best efforts to overcome force majeure events, and these terms resume once such conditions cease. Obligations accrued prior to the event remain enforceable.

Jurisdiction

All disputes arising out of this agreement or related agreements are subject to the exclusive jurisdiction of the courts in Delhi, India.

Special Notes

The following services have dedicated terms and will be advised as applicable:

  • Andaman and Nicobar Island or Lakshadweep Island itineraries.
  • Group bookings.
  • Helicopter yatras (Chardham, Teen Dham, Do Dham, Ek Dham, Vaishno Devi, Amarnath, and similar).
  • Tourist and luxury trains (Palace on Wheels, Deccan Odyssey, Maharajas Express, Golden Chariot, and similar journeys).
